Pay Range
$87,450 - $108,564 Annually
Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting starting pay including education, experience, the external labor market, and internal equity.
Job Description
We have an opening for a Workforce Administrator to work in a dynamic and fast-paced environment. In addition to being well-organized and methodical, your strong organizational and communications skills will be needed to interact with a variety of people and a multidisciplinary team. This position is in the Materials Engineering Division (MED) within the Engineering Directorate.
You will
- Supervise exempt and non-exempt administrative staff to include workload management, oversee staff development, provide training, mentoring and feedback on a regular basis; write performance appraisals, and provide rank and salary recommendations to the Division Administrator.
- Independently lead and execute planning, decision-making, and development of hiring, onboarding, and off-boarding processes as part of the MED management team; implement, review and/or revise existing practices and procedures.
- Oversee and coordinate the day-to-day hiring activities and process flow to include extensive interactions with the Engineering Directorate Office Staff, HR Employment Team, and other institutional divisions; Oversee coordination of Scholar and Academic Cooperation Program hires.
- Assist hiring managers with composing job listings, coordinating interview scheduling, building hire packages, initiating Personnel Administration System (PAS) actions, and acting as a resource to division personnel as an integral part of the MED Hiring Team.
- Establish and maintain tracking spreadsheets as well as electronic record-keeping systems as required for the administrative and operational hiring activities.
- Collect data to establish and maintain hiring metrics and electronic record-keeping documents to report recruitment and hiring activities, job applicant information, and to recommend hiring process support improvement strategies.
- Advise hiring managers and teams with best practices for identifying, sourcing, recruiting, and hiring the best qualified candidates and provide continuous follow-up with management to confirm hiring plans while ensuring candidates’ needs are met.
- Assess business, operational and/or organizational requirements and deliverables and apply general knowledge of policies, procedures, methods, and practices, propose improvements, and implement approved actions; determine and execute appropriate administrative process.
- Serve as a resource through sharing skills and knowledge with others; may provide training and mentoring to others as needed.
- Perform other duties as assigned.
Qualifications
- Ability to secure and maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship.
- Experience participating in team building activities and leadership to include employee development and fostering a productive team environment; coordinating administrative and operational work activities and multi-faceted internal business processes.
- Knowledge of the recruitment life cycle process and experience working with recruiters who are responsible for sourcing strategy through final selection of candidates. Experience working as a liaison with the HR team and facilitating hire packages.
- Experience coordinating and prioritizing high volume requests and multi-faceted internal processes under short, changing deadlines with numerous and frequent interruptions.
- Experience problem-solving and effective decision-making skills to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems.
- Experience leading business, operational and/or organizational activities; Ability to work independently with the aptitude to assume responsibility and make decisions with minimal guidance within a multidisciplinary team.
- Experience coordinating administrative and operational work activities and multi-faceted internal processes for the work unit and/or functional area.
- Advanced interpersonal skills with the ability to handle sensitive and confidential issues with tact, discretion, and mature judgment; ability to effectively deal with difficult situations and personnel.
- Strong written and verbal communication skills; advanced organizational skills, attention to detail, accuracy, and follow through.
- Advanced experience using HRIS and applicant tracking systems with knowledge of and experience interpreting and applying employment policies and procedures.
- Working knowledge of computers and associated software including MS Office applications; experience creating and maintaining Excel spreadsheets.
Qualifications We Desire
- Knowledge and experience interpreting and implementing LLNL policies, procedures, and practices.
- Experience with Smart Recruiters, CAT, LAPIS, EAM, and other LLNL administrative software and platforms.
